Privacy Policy

Airtightproof ("Airtightproof," "we," "us") helps people who rent out their own equipment capture before/after condition records. This policy explains what we collect, why, and what you can do about it. Plain language, no surprises. We are not an insurer and do not underwrite or pay out losses — we help you document and stay organized.
Who this covers
There are two kinds of people in Airtightproof, and we treat their data differently:
- Operators — the account holders who sign up and use the app.
- Renters — the third parties who rent an operator's item and whose details appear in a handoff record. Renters don't have accounts; their information is entered or captured by the operator.
Operator account data
When you create and use an account, we collect:
- Your email address and a securely hashed password (or a Google/Facebook sign-in identity).
- Optional profile details: business/display name, logo, and timezone.
- The assets, rentals, calendar entries, and deposit/income records you enter.
- Basic technical data needed to run the service (e.g. session tokens, error logs).
- Billing details handled by our payment processor, Stripe — we never see or store your full card number.
Renter data (the data captured in evidence packets)
This is the distinguishing part of Airtightproof, so we're explicit about it. When you capture a checkout or check-in, the app records information about a third-party renter on your behalf. This can include:
- Personal details — the renter's name, phone, and/or email, if you enter them.
- Photos — images of the rented item (and potentially its surroundings) at handoff.
- Geolocation — the GPS coordinates of where a capture was taken, attached to the handoff and individual photos.
- Signatures — the renter's handwritten signature on the rental agreement.
- Other capture data — timestamps, meter readings, and condition notes.
For this renter data, the operator is the controller and decides what is collected; Airtightproof processes and stores it on the operator's behalf. If you capture a renter's information, you are responsible for having a lawful basis to do so (for example, the renter signing the agreement) and for telling the renter how their information will be used. We keep geolocation and personal details out of URLs and query strings, and store photos and signatures in private object storage behind expiring signed links — never on public paths.
How we use data
- To provide the service: store your records, generate evidence packets, sync offline captures.
- To send transactional email — verification, password resets, and billing notices.
- To operate billing and enforce plan limits.
- To keep the service secure and debug problems.
We do not sell your data or renter data, and we don't use it for advertising.
Who we share it with
We share data only with the processors that make the product work:
- Stripe — payment processing.
- Resend — sending transactional email.
- Our cloud hosting and object storage — running the app and storing files.
- An evidence packet you choose to share via link goes to whomever you send the link to.
Retention and deletion
We keep your data while your account is active. You can export your full workspace and delete your account at any time from Settings. Deleting your account permanently removes your operator record and cascades to your assets, rentals, renters, handoffs, photos, signatures, and generated packets, and cancels any active subscription. Backups are rotated on a rolling schedule and purged in the ordinary course.
Your rights
Depending on where you live, you may have rights to access, correct, export, or delete your personal data. The export and delete tools in Settings cover the common cases directly; for anything else, contact us.
Cookies
The app uses a single session token to keep you signed in. The marketing site uses no tracking or advertising cookies.
Children
Airtightproof is not directed to anyone under 18, and we don't knowingly collect their data.
Changes
If we make material changes, we'll update the version stamp at the top and, where appropriate, notify you. Continuing to use Airtightproof after a change means you accept the updated policy.
